Full List of General Finance Settings

Here is a full list of the general Finance settings.

Within the system you have a number of different Finance settings that can be changed to suit the needs of your practice.

Options

The first set of options that you can configure are in reference to your invoice due date, VAT, income location and consultancy filtering.

1. The Invoice Due Date is how many days notice you wish to give the client to have the invoice paid.

2. If you are VAT registered this can be toggled on, you can also set your rate and add your VAT number. to be included on invoices.

3. The Default Received at Location for Income determines whether the received at location is the user's location or the appointment's.

4. Consultancy Filtering will set the filter mode for consultancy items throughout the application. (e.g. Used to restrict the consultancy items available to a specific group.) 'Flexible' mode allows overriding of this list, whereas 'Strict' mode does not and 'Off' doesn't restrict the list at all.

5. Print / email financial templates automatically - Can select whether invoices or reciepts can be emailed / printed autoatically upon quick bill.

6. Custom From Address for Financial Emails - Can sent an email that invoices and reciepts will be sent from.

7. Only allow one discount code per invoice - Can limit to one per invoice on discount codes.

Ledger Codes

A ledger code is simply a category attached to a charge item that allows you to sort your dales figures by category.

Without using ledger codes in the system, your sales figure will come out as a single figure. Using ledger codes you can split your figures into different categories.

Within the system's finance settings you can add ledger codes for Transfers, Cancellations, DNAs, Write-offs and Discounts as shown in the example below:

Once you have added your ledger codes, simply click on 'Save' for the changes to take affect.


Billing Item Transfer Text

You can transfer a billing if for example an insurance company does not pay the complete amount of a patient's invoice and you need to transfer the outstanding amount to the patient's account.

When you do this a description will be displayed on the patients invoice. You can decide what the text says in the box below.

#Ref will include the reference number of the invoice

#FROMACCNAME will include the name of the Business/Patient you have transferred the invoice from

The text will then appear on the transferred invoice as shown in the example below:
