This article will breakdown the Aged Debtors Report

This article will show you the parameters and columns featured on the new Aged Debtors Report:

Summary:

All accounts that are currently in debt and their corresponding invoices


Parameters

Location Status:

As default it will only display data for Active & View Only locations. To see 'All' this will need to be selected

Location:

Leave blank to show data for all locations from the setting above. For example, if no locations are selected it will look for all 'Active & View Only’ locations as shown above.

Account name:

Left blank as default, but should you want to only show data for certain clients / businesses you can type their name in here.
Press the + button enter their name and then submit.

Invoice Age:

Defaults to ‘All’. This will not filter the reports. You have the option of selecting the invoice age. The invoice age is the numbers of days between the invoice date and today.
The other options are ‘0-30 Days’, ’31-60 Days’, ’61 – 90 Days’ and ‘91+ Days’

Invoice Status:

Leave blank to show results for all. The report ignores paid invoices, so you will have the option for ‘part paid’ and ‘unpaid’ invoices.

Account Type:

Defaults to ‘All’. This will show data for all account type. The search can be narrowed down to display only ‘Self Funder’ or ‘Business’ or both.

Group By Location?

Separates the data into location groupings, with totals per location at the bottom of each group

Group By Account Type?

Separates the data by account type, with totals per account type at the bottom of each group.

Group By Month?

Separates the data by month, with totals per month at the bottom of each group. It will group by year and then month when this option is selected.

Note: If more than one grouping is selected they will stack one under another in the order they appear in the parameter section.

Once you submit your parameters you can save this as a preset by pressing save at the top right-hand side of the report.

Columns

Invoice Ref:

Shows the invoice reference number. This is hyperlinked allowing the user to click on the invoice reference, to open the invoice on a new tab.

Location:

The location linked to the invoice

Account Name:

The account name linked to the invoice

Client Name:

The full name of the client. This will be hyperlinked, which when clicked will open the client record in a new tab.

Invoice Status:

Either unpaid or part paid

Invoice Grand Total:

The grand total of the invoice.

Invoice Amount Paid:

The total amount of payments linked to the invoice.

Invoice Amount:

Invoice Age:

Total number of days between the invoice date and today.

Invoice Age Category:

The invoice age is the numbers of days between the invoice date and today.
The other options are ‘0-30 Days’, ’31-60 Days’, ’61 – 90 Days’ and ‘91+ Days’

Account Type:

Either self funding or business.

Invoice Date:

The date the invoice was raised

Month:

The month of the invoice date

Year:

The year of the invoice date

Account Balance Owed:

The total balance owed to the client. This is the collective total of all unpaid invoices on the account.

If exporting the data into a CSV or Excel file, the grouping parameters should be ignored.
