Client Profile
When you click 'View' beside a client record, it brings up their profile which has the same layout as the image below:
The client's name boldly stands out in yellow and a larger text size compared to the other text. A brief summary of the client's details are displayed and the status of their treatment is also highlighted.
Edit Details
To edit patient details select the three dots in the top right corner of the patient record and then select the edit details option:
This opens up the client details for you to edit as required.
Actions
the top bar of the patient record also goes over all the different actions you can take relating to this patient:
Book Appointment - Allows you to create an appointment in the diary
Add/ edit Case - Manually add a new clinical case involving the patient or change the details of an existing case.
Add Authorisation - If a company is paying for treatment you can add further authorisation codes here.
Add Note - Add notes about the patient
Contact - lets you generate emails, sms' and letters for the client.
Attach files - lets you attach any documents or images you might want available on the patient record.
New Form - allows you to generate a form for the patient to either send to them, fill out on their behalf or let them fill out themselves in person.
Add Prescription - If you issue prescriptions you can create them here for the patient.
Add Payment - Add on a payment to reconcile invoices with
Add Invoice - Manually create an invoice from the patient record
Add card payment - If you are linked to ClearAccept/ E-clinic PAY then you can generate the option to take a payment via a connected card terminal or the virtual terminal option.
Alerts
You are able to add 'Alerts' to your patient record. You do this by clicking on the add note option and selecting to make the note a priority and that it requires Acknowledgement:
A window, similar to the image below, will open prompting you to create the alert.
You can start and end alerts on specific dates or activate them from the moment of creation to remain an alert for the duration of time the patient is treated in the clinic. You can also choose who in the clinic sees the alert.
You are given the opportunity to set that a user must acknowledge this alert every time they open the record and you can also add a task.
When you enter the clients record the alert appears on screen as shown below and you click 'Acknowledge' to close it.
Client Sections
There are 8 sections to the left the patient record, underneath the contact details. These are:
Appointments
Finances
Cases
Previous Medical History
Prescriptions
Forms
Authorisations
Documents
Contacts
Selecting each section opens up the relevant details.
Appointments
You can view all appointments for this patient from here.
Finances
You can view invoice, charges, and payments and additionally create an invoice.
Cases
When a client has a case open they will be saved here on their profile.
Previous Medical history
Opens up the previous medical history form to view the details or edit them as required.
Prescriptions
Opens up the prescriptions applied to the patient if any have been created.
Forms
When a client completes a form it will appear in this section.
Authorisations
This section gives you a brief overview of the client's treatment authorisations if they have any. You can also add and/or remove the treatment authorisations.
Documents
This opens the document history of the patient. Any correspondence sent out or files saved onto the patient record.
