This article will show you the parameters and columns featured on the new Client Tracking Report:
Summary: | Clients who have attended an appointment in your date range alongside their current status |
Parameters |

Business: | Leave blank to include all businesses and self funders |
Location Status: | As default it will only display data for Active & View Only locations. To see 'All' this will need to be selected |
Location: | Leave blank to show data for all locations from the setting above. For example, if no locations are selected it will look for all 'Active & View Only’ locations as shown above. |
Practitioner Status: | Defaults to ‘Full Time & Pay G’ practitioners. If you need to see disabled practitioners ‘All’ should be selected |
Practitioner: | Leave blank to pull through all the practitioners from the setting above. Otherwise select as many practitioners on the drop list as needed. |
Appointments Between: | Date selection is mandatory. The report will pull through all clients with a an appointment between your date range. |
Omit Patients that don’t need action:
| Defaults to ‘No’ meaning this check will not be added to the report. |
Clients: | Left blank as default, but should you want to only show data for certain clients you can type their name in here. |
Group By Location? | Separates the data into location groupings, with totals per location at the bottom of each group |
Group By Practitioner? | Separates the data by practitioner, with totals per practitioner at the bottom of each group. |
Note: If more than one grouping is selected they will stack one under another in the order they appear in the parameter section. Once you submit your parameters you can save this as a preset by pressing save at the top right-hand side of the report. |

Columns |

Client Name: | The full name of the client. This will be hyperlinked, which when clicked will open the client record in a new tab. |
Contact Number: | It will display the client’s mobile number. If this is blank, it will display their work telephone number. Finally, if this is blank it will show their home telephone number. |
Email: | Client’s email address |
Client Status: | The current status of the client as stated on their record. Discharged clients will update to ‘Non Current’ |
Appt Date:
| The date of their appointment that lies within the date range selected in the parameters section. |
Appt Time: | The time of their appointment that lies within the date range selected in the parameters section. |
Appt Status: | The status of their appointment that lies within the date range selected in the parameters section |
Charge Created: | A charge is created from an appointment once it has been completed or cancelled and invoicing option was completed in the quick bill screen. |
Charge Total: | The total charge created linked to the appointment. (not the stock item amount). A charge must be created from the quick bill screen. |
Has Future Appointment: | When the client’s current status is ‘Non Current’ then it will say ‘Not Required’/ |
Future Appointment Date: | If there is an appointment after the one displayed it will show the date of the next appointment. |
Practitioner: | Displays the practitioner linked to the appointment |
Business: | Displays the business linked to the appointment. If there is none it will read ‘Self Funding’ |
Location: | Displays the location linked to the appointment. |
Appt Type: | If ‘This is the first appointment of a new case’ is selected this field will say ‘Initial’. |
Description: | This will pull through the stock description of the appointment booked. |
If exporting the data into a CSV or Excel file, the grouping parameters should be ignored. |
